Hours: Average of 5-10 hours/week (varies seasonally)

About the Lincoln Track Club (LTC)
The Lincoln Track Club is a community-driven organization dedicated to promoting endurance and trail racing in the Lincoln area. We host races, expos, and community events throughout the year and rely on a strong network of volunteers, sponsors, and partners to make it all happen.
Position Summary
The Operations & Logistics Coordinator plays a vital role in ensuring the smooth execution of LTC events and day-to-day operations. This individual will manage inventory, coordinate logistics, support sponsor relations, and handle administrative tasks that keep the club running efficiently. You are the eyes and ears of the LTC Organization and are a key part of making sure that the races are successful. The goal is to ensure every participant has the best possible running experience and looks forward to many more events with the Lincoln Track Club.
While the responsibilities of this role are broad and dynamic—ranging from hands-on logistics to relationship management—we recognize that no single candidate will check every box. What matters most is finding the right person: someone adaptable, eager to learn, and passionate about contributing to the success of our events and community. The position itself will evolve based on the strengths and interests of the individual, and we welcome applicants from diverse backgrounds who are excited to grow with us.
Key Responsibilities
Event & Equipment Logistics
Pack and prepare the LTC equipment trailer before each race.
Identify additional items needed for each LTC race.
Ice, pools, volunteer shirts, concrete bucket for mile markers, etc.
Maintain inventory of race-day essentials (e.g., bibs, signage, cones, timing equipment).
Document required equipment and race-day essentials for each of the LTC races
Inspect, document, and ensure safety and functionality of all LTC equipment.
Trailer Lights, Tires, etc.
Work with current volunteers to fully document the Start/Finish line set up including the metal truss set up, power cables for the trailer, adding the start/finish banner, and clock.
Mark LTC race courses with Orange road paint at minimum a week prior to the race
The night before or morning of the LTC race put out mile markers for races. Coordinate with race directors in case this is part of their duties.
Coordinate equipment rentals and deliveries as needed.
Access to a vehicle to tow trailer or designation responsibilities
Order awards and coordinate with award recipients. Mail out awards as necessary.
Inventory & Supplies Management
Track and replenish consumables (e.g., food, drinks, first aid).
Log this information in a shared google sheet available to the LTC board and LTC President
Work with donors & vendors
Maintain inventory of merchandise, promotional items, and giveaway materials.
Log this information in a shared google sheet available to the LTC board and LTC President
Organize and maintain the LTC warehouse and storage areas.
Administrative & Communication Support
Send marketing emails and club communications (e.g., newsletters, race updates).
Publish emails as blog posts on https://www.lincolnrun.org/news
Schedule meetings and send volunteer coordination emails.
Send race follow up emails thanking volunteers and share feedback surveys after each LTC race. (Use Google Forms within the LTC Google Workspace so it will be available to all LTC board members)
Feedback from surveys will be shared with Race Directors and LTC Board.
Maintain sponsor relationships and coordinate annual donation requests.
Work with Webmaster to ensure we post articles or update https://www.lincolnrun.org to properly share these donations and requests.
Assist with sponsor recognition and promotional obligations.
Work with Webmaster to ensure we post articles or update https://www.lincolnrun.org to properly share these requests.
Additional Duties
Support social media and website updates (optional, if skilled).
Work with a webmaster if this is not in their wheelhouse.
Assist with volunteer recruitment and onboarding.
Work with LTC Board Members to define what is necessary for race day setup. Essentially build a training doc or book that anyone could pick up in the future and use.
Create volunteer responsibilities documentation with walk throughs for each race.
Work with webmaster to add these details to https://www.lincolnrun.org to assist with recruitment.
Track and report on key metrics (e.g., inventory levels, sponsor contributions).
This could be done in a folder or shared space in LTC Google Workspace so it is available to all LTC Board members by default.
Perform other duties as assigned by the LTC board or officers.
Qualifications
Self-starter who can work independently and manage multiple tasks.
Strong organizational and time management skills.
Excellent written and verbal communication.
Comfortable with basic tools like spreadsheets, email marketing platforms, and inventory systems.
Ability to lift and move equipment (up to ~70 lbs).
Passion for community events, racing, or outdoor activities is a plus.
Preferred/Optional Experience
Prior experience in event coordination, logistics, or nonprofit administration.
Warehouse experience and/or driving a vehicle with a 30’ trailer a plus.
Familiarity with tools like Google Workspace, Mailchimp, or similar platforms.
